    About the client:



    Our client is a major outsourcing organisation based in the West Midlands providing customers with a wide range of ‘back office’ services including payroll, credit management and IT support.



    Purpose of the role:



    Reporting directly to the IT systems Manager, the Administrator is responsible for the provision of effective administrative support to the IT system Manager as directed.



    · Coordinate and manage the IT Managers telephone calls, email, post and diary functions.

    · Monitor and distribute all helpdesk assigned service requests to IT systems team.

    · To co-ordinate the supply of IT equipment to branch customers and Head Office.

    · To plan, process work schedules and work within projects.

    · To produce, process and data input engineer daily worksheets.

    · To monitor work passed to the system engineers and report back to IT systems manager.

    · To prioritise and process requests for new and used equipment.

    · To order the correct number and type of software licenses when required and keep records of such transactions.

    · To keep records of all purchases, recharges and chargeable work.

    · To liaise with suppliers/partners, ensuring an adequate product knowledge and cost base.

    · Recognise the need to document change.

    · To support the IT Systems Manager in the daily running of the business.



    Critical activities:

    · Effective scheduling so that deadlines and priorities are met.

    · Establishing and maintaining an effective network of contacts to draw on as sources of information.

    · Identifying the central and underlying issues in situations and problems.

    · Applying logic and system to analysing information and developing solutions.

    · Documenting systems and amendments as appropriate.

    · Providing an expert resource within the IT systems team.

    · To take upon responsibilities as instructed by the IT Systems Manager.

    · Supporting the IT systems team manager in the daily running of his business.

    · Managing the IT systems team manager’s incoming / outgoing telephone calls and Diary where required.

    · Logic and systematic thinking, analysing situations to identify causes and develop appropriate plans.

    · An ability to build and develop a broad range of personal contacts for the exchange of information and ideas, in order to be able to assist customers with problems and queries they may have with systems.

    · Commitment to delivering a high quality service in demonstrating empathy with customers’ point of view.

    · Ability to work conscientiously and efficiently within own work routines paying attention to detail to minimise errors.

    · Good communication skills, asking questions to clarify understanding, listening attentively to customers and pass information accurately and effectively.

    · A desire to achieve objectives and meet standards lay down by the job.

    · Confidently takes responsibility to resolve issues and complete tasks.

    · Maintaining frequent contact with others about networking matters to co-ordinate the administration process.

    · Willingness to modify initial approach to demands and changes to work situations.

    · Logically and systematically generate and evaluate relative merits of alternatives to complete complex tasks.
